
Agency-Client Agreement
Transparency is an important part of how I work. Before planning begins, every client is asked to review and agree to this Service Agreement. It explains what you can expect from me, what I'll need from you, and the important policies that help ensure a smooth planning experience.
Thank you for choosing Turquoise Travel Advisors to assist with your vacation planning. This agreement outlines the professional planning services provided, important policies, and the responsibilities of all parties involved so we can work together smoothly throughout the planning process.
By signing below, you acknowledge that you have reviewed and agree to the following terms and conditions.
Professional Planning Services: Turquoise Travel Advisors provides professional travel planning and advisory services, which may include:

Customized destination research and vacation planning

Supplier coordination and reservation management for travel components such as cruises, hotels, tours, and excursions

Travel support and guidance throughout the planning process

Personalized recommendations intended to enhance your travel experience
Recommendations are based on information provided by the client, supplier availability, and professional experience.
Planning Fees: When you retain Turquoise Travel Advisors to assist with your travel planning, you are hiring a professional travel advisor to help create a vacation tailored to your preferences, priorities, travel style, and budget.
Depending on the scope, complexity, destination, or level of customization involved, Turquoise Travel Advisors may charge professional service or planning fees for services that may include, but are not limited to:

Customized itinerary design and destination research

Multi-destination travel coordination

Cruise, hotel, tour, transportation, and excursion planning

Supplier coordination and reservation management

Travel insurance research and quote preparation

Significant itinerary revisions, cancellations, and re-booking coordination

Administrative support throughout the planning process
Any applicable professional service or planning fees will always be discussed prior to the start of substantial research, itinerary development, or booking work.
Unless otherwise stated in writing, professional service and planning fees are non-refundable; fees compensate for professional time, research, expertise, and advisory services; payment of a fee does not guarantee pricing, availability, or reservation holds; and fees may apply regardless of whether travel is ultimately booked.
Pricing & Availability: Travel pricing and availability are dynamic and subject to change until reservations are confirmed and deposits or payments are processed by the supplier.
Quotes provided by Turquoise Travel Advisors are not reservations and do not guarantee availability.
Travel suppliers may change pricing, availability, schedules, inventory, taxes, fees, fuel surcharges, or exchange rates without prior notice. Airfare is especially volatile and may change rapidly until ticketed.
Client Responsibilities: Clients are solely responsible for reviewing all travel documents and ensuring that traveler names, dates of birth, passports, visas, vaccinations, and other required travel documentation are accurate, valid, and match government-issued identification and entry requirements. Clients are also responsible for reviewing supplier terms and conditions, making payments by stated deadlines, and promptly communicating approvals, changes, or concerns.
Failure to review documents carefully may result in additional supplier fees, cancellation penalties, denied boarding, or other travel disruptions for which Turquoise Travel Advisors cannot be held responsible.
Supplier Responsibility: Turquoise Travel Advisors acts as an independent travel advisor and intermediary between clients and third-party travel suppliers, including airlines, cruise lines, hotels and resorts, tour operators, transportation companies, and insurance providers.
Turquoise Travel Advisors does not own, operate, manage, or control these suppliers and is not liable for errors, schedule changes, cancellations, mechanical failures, service interruptions, bankruptcy or financial default, weather events, labor strikes, political unrest, or injury, illness, loss, damage, or delays occurring during travel.
All bookings are subject to the terms and conditions of the individual travel suppliers.
Turquoise Travel Advisors cannot guarantee supplier performance, pricing, availability, upgrades, specific accommodations, or travel outcomes.
Supplier Change & Cancellation Policies: Travel suppliers maintain their own cancellation policies, change fees, rebooking rules, refund limitations, and terms and conditions. These policies may include non-refundable deposits, penalties, administrative fees, airfare restrictions, or loss of promotional pricing.
Clients acknowledge that Turquoise Travel Advisors does not establish or control supplier policies and is not responsible for supplier-imposed penalties, cancellation charges, rebooking costs, fare increases, or loss of funds resulting from client-requested changes, cancellations, or supplier policies.
Additional professional service fees may apply for substantial itinerary revisions, cancellation coordination, rebooking assistance, or significant changes made after reservations have been confirmed.
Communication & Approval: Successful travel planning requires timely communication and collaboration. Clients agree to provide prompt responses regarding approvals, traveler information, and payment authorization in order to avoid delays, price increases, loss of availability, or cancellation.
Turquoise Travel Advisors cannot guarantee pricing or availability while awaiting client authorization or payment. Reservations will not be confirmed until authorization and required payments are received.
Payment Authorization & Chargebacks: By authorizing payment for travel services, planning fees, deposits, or reservations, clients acknowledge that they have reviewed the applicable pricing, itinerary details, and supplier terms and conditions prior to purchase.
Clients agree not to initiate credit card disputes or chargebacks for authorized travel purchases (including electronic authorization), non-refundable planning fees, supplier-imposed penalties or cancellation fees, or services provided in accordance with this agreement.
Any payment dispute initiated for legitimately authorized charges may result in collection efforts and recovery of associated administrative or legal costs where permitted by law.
Force Majeure/ Events Beyond Control: Turquoise Travel Advisors is not liable for delays, interruptions, cancellations, injuries, losses, damages, or other events resulting from circumstances beyond its control, including but not limited to weather events, natural disasters, government actions, public health events, labor disruptions, civil unrest, supplier insolvency, or transportation interruptions.
