Agency-Client Agreement

Thank you for choosing Turquoise Travel Advisors to help plan your vacation. Clear communication is an important part of a successful planning experience. This agreement outlines how we’ll work together, the professional planning services I provide, your responsibilities as a traveler, and a few important policies to help make the planning process as smooth as possible.

Professional Planning Services: Turquoise Travel Advisors provides personalized travel planning and advisory services based on each client’s preferences, priorities, travel style, and budget.

  • Planning & Recommendations: Services may include customized destination research, itinerary planning, recommendations for accommodations and experiences, and coordination of travel components such as cruises, hotels, tours, transportation, and excursions.

  • Reservation Management & Support: Services may also include supplier coordination, reservation management, pre-travel guidance, and support throughout the planning process.

  • Personalized Recommendations: Recommendations are developed based on information provided by the client, supplier availability, professional experience, and the individual needs of the trip.

Planning Fees: Turquoise Travel Advisors may charge a professional planning or service fee based on the scope, complexity, customization, destination, and level of support required for the trip. Any applicable fee will be discussed and agreed upon before substantial planning or booking work begins. The professional fee applicable to your trip will be communicated separately and reflected on your planning fee invoice.

  • What the Fee Covers: Professional fees compensate Turquoise Travel Advisors for the time, research, expertise, planning, coordination, and professional services involved in designing and managing the client’s travel arrangements.

  • Non-Refundable: Unless otherwise stated in writing, professional planning and service fees are non-refundable and are separate from payments made to travel suppliers.

  • Additional Services: If the scope of the trip or requested services changes significantly, additional professional fees may apply. Any additional fee will be discussed and agreed upon before the additional fee-based work begins.

Pricing & Availability: Travel pricing and availability are dynamic and may change until reservations are confirmed and required payments are processed by the applicable supplier.

  • Quotes & Proposals: Quotes and proposals provided by Turquoise Travel Advisors are not reservations, and travel components are not being held unless specifically stated otherwise.

  • Changes Before Booking: Supplier pricing, availability, promotions, taxes, fees, schedules, and other travel details may change before a reservation is confirmed.

Client Responsibilities:

  • Reviewing Trip Details: Clients are responsible for reviewing proposals, confirmations, itineraries, and other travel documents provided by Turquoise Travel Advisors and letting me know promptly if anything appears incorrect or does not reflect what was discussed.

  • Traveler Information: Clients are responsible for providing accurate traveler information, including names as they appear on the identification or passport that will be used for travel, dates of birth, and other information needed to make reservations.

  • Communication & Deadlines: Travel planning often involves time-sensitive pricing and availability. Clients are responsible for responding to requests for approvals, information, and payments within communicated timeframes so that reservations and pricing are not unnecessarily put at risk.

Travel Requirements & Traveler Responsibility:

  • Travel Requirements: Clients are responsible for verifying and meeting all passport, visa, immigration, entry, exit, transit, health, vaccination, and other requirements applicable to each traveler. Turquoise Travel Advisors may provide general information, reminders, and resources as a courtesy, but requirements may vary by traveler and destination and can change at any time.

  • Traveler Responsibility: Each traveler is responsible for verifying current requirements with the appropriate government authorities and ensuring they have the documentation required for their specific itinerary.

Supplier Responsibility: Turquoise Travel Advisors works with independent travel suppliers, including airlines, cruise lines, hotels and resorts, tour operators, and transportation providers, to arrange travel services on behalf of clients. These suppliers are responsible for providing and operating their respective travel services.

Turquoise Travel Advisors does not own, operate, manage, or control these suppliers. Supplier services and reservations are subject to the applicable supplier’s terms and conditions and the more detailed provisions outlined in Turquoise Travel Advisors’ Travel Terms & Conditions.

Communication & Approval:

  • Approvals: Travel arrangements will not be confirmed until the client has provided the required approval or authorization and any required payment has been received and processed.

  • Pricing & Availability: Pricing and availability cannot be guaranteed while Turquoise Travel Advisors is awaiting client approval, authorization, information, or payment.

  • Timely Communication: Some travel decisions are time-sensitive. Turquoise Travel Advisors will communicate applicable deadlines when known, and clients are responsible for responding within those timeframes to help avoid changes in pricing, availability, or reservation status.

This Agency Client Agreement works together with Turquoise Travel Advisors’ Travel Terms & Conditions, which contain additional terms related to travel reservations, suppliers, payments, cancellations, travel requirements, and other aspects of the services provided.

 

By signing this Agency Client Agreement, you acknowledge that the Travel Terms & Conditions are part of your agreement with Turquoise Travel Advisors. You will be asked to review and accept the Travel Terms & Conditions separately below.

Travel Insurance & Protection Acknowledgement

Emergencies can happen when you least expect them. Turquoise Travel Advisors strongly recommends that all clients purchase a travel insurance policy or protection plan to help protect their investment in their travel. Cruise lines, airlines, hotels, and tour operators may charge high penalties for cancellation, ranging from the forfeiture of a deposit to no refund at all.

Another thing to consider is what could happen in a medical emergency while traveling. Your regular health insurance may provide limited or no coverage outside the United States, depending on your plan. Before traveling, it is important to understand what coverage you already have and what expenses you could be responsible for in an emergency.

Some travel insurance and protection plans offer benefits or coverage related to pre-existing medical conditions or supplier default only when certain eligibility requirements are met, which may include purchasing coverage within a specified period after your initial trip deposit or payment.

Turquoise Travel Advisors can provide plan information and quotes for your consideration but does not determine whether a particular plan is appropriate for your individual needs or whether a particular event will be covered. Please review the plan documents carefully and direct questions about coverage, exclusions, benefits, or claims to the insurance provider.
