Terms and Conditions
These Travel Terms & Conditions apply to travel planning, reservations, and related services provided by Turquoise Travel Advisors. They are incorporated into the Agency Client Agreement and other client forms or authorizations that reference these Terms & Conditions. By accepting these Terms & Conditions, you acknowledge that you have reviewed and agree to them.
Agency Role & Responsibility
-
Agency Role: Turquoise Travel Advisors provides travel planning and reservation services and acts as an intermediary between travelers and independent travel suppliers, including airlines, hotels, cruise lines, tour operators, transportation providers, and other travel-service providers. Turquoise Travel Advisors does not own, operate, manage, or control these independent suppliers. Travel services arranged through Turquoise Travel Advisors are provided by the applicable travel suppliers and are subject to each supplier's terms, conditions, policies, and restrictions.
-
Third-Party Responsibility: Travel suppliers are independent third parties responsible for providing and operating the travel services they offer. Turquoise Travel Advisors does not control and cannot guarantee the acts, omissions, performance, schedules, policies, availability, or operations of these suppliers. Supplier-related matters, including schedule changes, cancellations, delays, service interruptions, changes in accommodations or transportation, and other operational decisions, are generally governed by the applicable supplier's terms and conditions and applicable law. Turquoise Travel Advisors will provide reasonable assistance when supplier-related issues arise but cannot guarantee a particular resolution, refund, credit, replacement service, or other outcome.
Quotes, Pricing & Availability
-
Quotes Are Not Reservations: All quotes are preliminary and do not guarantee availability or pricing. Pricing and availability are subject to change until confirmed with payment.
-
Availability: Unless specifically stated otherwise, travel components included in a quote or proposal are not being held. Availability may change at any time prior to confirmation.
-
Pricing: Travel suppliers control their pricing and may change rates, fares, taxes, fees, fuel surcharges, promotions, or other charges without prior notice. Currency fluctuations may also affect pricing for travel services priced in foreign currencies.
-
Group Pricing: Pricing based on a particular number of travelers, rooms, cabins, or other group arrangements may change if the size or composition of the group changes.
-
Airfare: Airfare is particularly dynamic and may change at any time until ticketed. Airline-specific policies, schedule changes, seat assignments, baggage, and other air-travel matters are addressed separately under Flights & Transportation.
Payments & Authorization
-
Payment Authorization: Payments will be processed only in accordance with the client’s applicable payment authorization. Providing payment information does not authorize Turquoise Travel Advisors to process charges beyond those authorized by the client.
-
Supplier Payments: Payments for travel services may be processed directly by the applicable travel supplier or other authorized travel provider. Clients authorize Turquoise Travel Advisors to provide payment information to the applicable supplier when necessary to complete an authorized transaction.
-
Payment Deadlines: Clients are responsible for making required payments by the deadlines communicated by Turquoise Travel Advisors. To allow adequate processing time and help avoid cancellation or loss of reservations, Turquoise Travel Advisors may establish a client payment deadline that is earlier than the supplier’s stated deadline.
-
International Transactions: Some travel suppliers process payments outside the United States. Clients are responsible for any foreign transaction fees, currency conversion fees, or other charges imposed by their bank or credit card issuer.
-
Declined or Unprocessed Payments: Turquoise Travel Advisors is not responsible for loss of pricing, availability, or reservations resulting from a declined payment, insufficient funds or credit, inaccurate payment information, or a client’s failure to provide payment authorization by the applicable deadline.
Professional Fees
-
Professional Fees: Turquoise Travel Advisors may charge professional planning or service fees for travel planning, research, itinerary design, reservation management, airfare services, administrative support, and other professional services. Applicable fees will be disclosed before the associated fee-based work begins.
-
Non-Refundable Fees: Unless otherwise stated in writing, professional planning and service fees are non-refundable and compensate Turquoise Travel Advisors for professional time, research, expertise, and services provided. These fees are separate from payments made to travel suppliers and do not guarantee pricing, availability, or reservation holds.
-
Additional Services: Additional professional fees may apply when a client requests services outside the originally agreed scope, including substantial itinerary revisions, cancellation or rebooking assistance, or significant changes after reservations have been confirmed. Any additional professional fee will be disclosed to the client before the additional fee-based work is performed.
-
Airfare-Only Services: Airfare-only reservations may be subject to a separate professional service fee. The applicable fee will be disclosed before ticketing services begin.
Supplier Terms & Conditions
-
Supplier Terms: All travel reservations are subject to the terms, conditions, policies, and restrictions of the applicable travel suppliers. These may include payment requirements, cancellation and change policies, refund restrictions, baggage policies, check-in requirements, and other conditions established by the supplier.
-
Client Responsibility: Clients are responsible for reviewing and complying with applicable supplier terms and conditions provided or made available in connection with their reservations.
-
Supplier Terms Control: When a supplier’s terms and conditions apply to a travel service, those terms govern the client’s rights and obligations with respect to that supplier and service, subject to applicable law.
-
Information Provided by Turquoise Travel Advisors: Turquoise Travel Advisors may summarize or explain supplier policies as a convenience to clients. Such information does not replace the supplier’s complete terms and conditions, which may change or be updated by the supplier.
Cancellations, Changes & Refunds
-
Cancellations & Changes: All cancellations and changes are subject to the terms, conditions, penalties, and restrictions of the applicable travel suppliers. Clients are responsible for any supplier-imposed cancellation penalties, change fees, fare differences, or other costs resulting from client-requested changes or cancellations.
-
Cancellation or Change Requests: Requests to cancel or change travel arrangements should be submitted to Turquoise Travel Advisors in writing. A request is not considered completed until it has been processed and, when applicable, confirmed by the travel supplier.
-
Refunds & Credits: Eligibility for refunds, future travel credits, or other remedies is determined by applicable law and the terms and conditions of the applicable travel supplier. Turquoise Travel Advisors does not control supplier refund or credit decisions or processing timelines.
-
Non-Refundable Travel Components: Some deposits, fares, reservations, or other travel components may be partially or fully non-refundable. Clients are responsible for reviewing applicable cancellation and refund terms before authorizing a purchase.
-
Professional Fees: Professional planning and service fees charged by Turquoise Travel Advisors are separate from supplier cancellation penalties or fees and remain subject to the Professional Fees provisions of these Terms & Conditions.
-
Rebooking & Cancellation Assistance: Turquoise Travel Advisors will provide reasonable assistance with cancellations, changes, refunds, credits, or rebooking when requested. Additional professional fees may apply when this assistance falls outside the originally agreed scope of services and will be disclosed before additional fee-based work is performed.
Travel Protection and Insurance
-
Travel Protection & Insurance: Turquoise Travel Advisors strongly recommends that travelers consider purchasing travel protection or travel insurance to help protect their travel investment and address certain unexpected events that may occur before or during travel.
-
Coverage & Policy Terms: Benefits, exclusions, limitations, eligibility requirements, and coverage vary by plan and provider. Clients are responsible for reviewing the complete policy or plan documents and determining whether the coverage meets their individual needs. The insurance or protection provider’s policy or plan documents govern all coverage decisions and claims.
-
Information & Quotes: Turquoise Travel Advisors may provide general information, plan materials, or quotes for travel protection or insurance when available. Turquoise Travel Advisors is not a licensed insurance producer and does not interpret policy language, determine whether a particular event or circumstance will be covered, or provide advice regarding a client’s individual insurance needs. Questions regarding coverage, exclusions, benefits, or claims should be directed to the insurance or protection provider.
-
Timing of Purchase: Certain benefits or coverage, including coverage related to pre-existing medical conditions or supplier financial default, may be subject to eligibility requirements or time-sensitive purchase deadlines. Clients are responsible for reviewing and meeting any applicable requirements or deadlines.
-
Cancel for Any Reason: Cancel for Any Reason (CFAR), when available, is subject to specific eligibility requirements, purchase deadlines, cancellation requirements, and reimbursement limits. CFAR generally does not provide reimbursement of 100% of the insured trip cost. Clients should review the applicable plan documents for complete details.
-
Declining Coverage: If a client declines travel protection or travel insurance, the client acknowledges that they may be financially responsible for losses, expenses, or costs that otherwise might have been eligible for coverage.
-
Claims: All claims and coverage determinations are handled by the applicable insurance or protection provider. Turquoise Travel Advisors does not determine whether a claim is covered, approve or deny claims, or guarantee payment or reimbursement.
Loyalty Programs & Travel Points
-
Loyalty Programs: Clients may provide airline, hotel, cruise line, or other loyalty program information to be associated with an eligible reservation. Turquoise Travel Advisors will make reasonable efforts to include or request the addition of loyalty information provided by the client. Providing a loyalty number does not guarantee that a reservation will qualify for points, miles, status credit, or loyalty benefits.
-
Loyalty Program Benefits: Travel arrangements may be booked through a variety of suppliers or booking channels based on factors such as overall value, pricing, availability, and the needs of the trip. Some rates or booking methods, including certain package or promotional rates, may not qualify for points, status credit, or all loyalty program benefits. Eligibility for points, miles, credits, upgrades, amenities, early check-in, Wi-Fi, or other loyalty benefits is determined by the applicable loyalty program or travel supplier and cannot be guaranteed by Turquoise Travel Advisors.
-
Travel Points & Miles: Turquoise Travel Advisors does not book travel using a client’s personal points, miles, rewards, or other loyalty currency. Clients who wish to redeem these benefits are responsible for making those reservations directly through the applicable loyalty program or supplier.
-
Reservations Made With Points or Miles: Travel arrangements booked independently by a client using points, miles, or other rewards are not managed by Turquoise Travel Advisors unless otherwise agreed in writing.
Travel Requirements & Traveler Responsibility
-
Traveler Responsibility: Each traveler is solely responsible for determining and meeting all passport, visa, immigration, entry, exit, transit, health, vaccination, and other requirements applicable to their travel.
-
Individual Requirements: Requirements may vary based on factors including citizenship, passport, residency, destination, countries of transit, length or purpose of travel, and individual circumstances. Requirements that apply to one traveler may not apply to another traveler on the same itinerary.
-
Passports & Travel Documents: Travelers are responsible for ensuring that passports and other required travel documents are valid for the entire itinerary and meet the validity, blank-page, visa, and other requirements established by the applicable authorities. As a general travel-planning guideline, Turquoise Travel Advisors recommends that passports be valid for at least six months beyond the planned return date. Actual passport validity requirements vary by destination and transit country, and travelers are responsible for verifying and meeting the requirements applicable to their specific itinerary.
-
Information Provided by Turquoise Travel Advisors: Turquoise Travel Advisors may provide general information, reminders, and links to government or other resources as a courtesy. Because travel requirements are established by government authorities and may change at any time, information provided by Turquoise Travel Advisors does not replace the traveler’s responsibility to verify current requirements with the appropriate government authorities.
-
Accuracy of Traveler Information: Clients are responsible for providing accurate traveler information, including legal names exactly as they appear on the identification or passport that will be used for travel, dates of birth, citizenship, and other information required for reservations or travel documentation. Clients must promptly review confirmations and travel documents and notify Turquoise Travel Advisors of any errors or discrepancies.
-
Failure to Meet Requirements: Turquoise Travel Advisors is not responsible for denied boarding or entry, missed travel, delays, cancellations, additional expenses, or other losses resulting from a traveler’s failure to obtain or maintain required documentation, provide accurate traveler information, or meet applicable entry, exit, transit, immigration, health, or other travel requirements.
Flights & Transportation
-
Flight Schedules & Operations: Airlines control their schedules, routes, flight numbers, aircraft, and operations and may make changes before or during travel. Turquoise Travel Advisors cannot guarantee flight schedules, aircraft type, routing, connection times, or airline operations.
-
Airfare & Ticketing: Airfare and availability may change until ticketed. Once ticketed, airline tickets are subject to the applicable fare rules and airline terms and conditions, including restrictions related to changes, cancellations, refunds, and credits.
-
Schedule Changes & Cancellations: If an airline cancels or significantly changes a flight, travelers may have rights to a refund, alternate transportation, assistance, compensation, or other remedies depending on the circumstances and applicable law. Passenger rights vary by country or jurisdiction and may depend on factors including the itinerary, operating carrier, cause of the disruption, and length of the delay. Turquoise Travel Advisors will provide reasonable assistance in reviewing available options but does not determine or guarantee a traveler’s eligibility for compensation, reimbursement, or other remedies under applicable passenger-rights laws or regulations. Turquoise Travel Advisors cannot guarantee alternate flight availability, airline processing times, or a particular outcome.
-
Seat Assignments: Seat assignments, including seats selected or paid for in advance, are controlled by the airline and are not guaranteed. Airlines may change or reassign seats due to aircraft changes, operational needs, schedule changes, or other circumstances.
-
Baggage & Airline Requirements: Clients are responsible for reviewing and complying with the applicable airline’s baggage allowances and fees, check-in requirements, boarding deadlines, identification requirements, and other travel policies.
-
Connections & Separate Tickets: When travel involves separately ticketed flights or transportation arrangements, the traveler may be responsible for additional costs or alternate arrangements if a delay, cancellation, or schedule change causes a missed connection, unless otherwise provided by the applicable supplier or law.
-
Other Transportation: Rail, transfers, rental cars, ferries, and other transportation services are subject to the schedules, policies, terms, and operational decisions of the applicable provider. Turquoise Travel Advisors cannot guarantee schedules, equipment, routes, or uninterrupted service.
Travel Documents & Communication
-
Review of Travel Documents: Clients are responsible for reviewing all confirmations, invoices, itineraries, tickets, vouchers, and other travel documents promptly upon receipt. Clients should verify traveler names, dates, destinations, accommodations, transportation, and other reservation details and notify Turquoise Travel Advisors promptly of any errors or discrepancies.
-
Accuracy of Traveler Information: Traveler names and other required information must be provided accurately and, when applicable, match the government-issued identification or passport that will be used for travel. Corrections after a reservation has been made may be subject to supplier restrictions, fees, fare differences, or cancellation and rebooking requirements.
-
Communication: Clients are responsible for providing current contact information and monitoring the email address and other communication methods provided to Turquoise Travel Advisors. Clients should respond promptly to requests for information, approvals, payment authorizations, or other time-sensitive matters.
-
Time-Sensitive Information: Delayed responses may result in changes to pricing or availability, missed payment or booking deadlines, cancellation of reservations, or loss of travel options. Turquoise Travel Advisors cannot guarantee pricing or availability while awaiting client authorization, information, or payment.
-
Changes to Travel Arrangements: Clients should promptly notify Turquoise Travel Advisors of requested changes or concerns regarding their travel arrangements. Changes are not confirmed until processed and, when applicable, confirmed by the appropriate travel supplier.
Health, Safety & Assumption of Risk
-
Health & Safety: Travel involves inherent risks that may vary by destination, activity, and individual circumstances. Travelers are responsible for considering their personal circumstances and determining whether they are able and willing to participate in their planned travel and activities.
-
Destination Conditions: Travelers are responsible for reviewing and considering current information regarding health, safety, security, weather, political conditions, and other circumstances that may affect their destination or travel plans. Turquoise Travel Advisors may provide general information or links to resources as a courtesy but cannot guarantee the safety or conditions of any destination.
-
Activities & Excursions: Travelers are responsible for evaluating the requirements, risks, and suitability of activities and excursions in which they choose to participate, including any physical, age, weight, health, or other participation requirements established by the applicable provider.
-
Personal Health & Medical Needs: Travelers are responsible for considering their individual health, mobility, dietary, medication, and other personal needs when traveling and for communicating relevant accommodation requests to Turquoise Travel Advisors or the applicable supplier when assistance is requested. Turquoise Travel Advisors cannot guarantee that a supplier or destination will be able to accommodate a particular request or need.
-
Assumption of Risk: By choosing to travel or participate in travel activities, travelers acknowledge and accept the inherent risks associated with their destinations, transportation, accommodations, activities, and other travel experiences, except to the extent otherwise provided by applicable law.
Force Majeure / Events Beyond Control
-
Events Beyond Control: Turquoise Travel Advisors is not responsible for delays, interruptions, cancellations, changes, or other disruptions resulting from circumstances beyond its reasonable control. These may include, but are not limited to, severe weather, natural disasters, public health emergencies, government actions or restrictions, war, terrorism, civil unrest, labor disputes, transportation disruptions, supplier insolvency, or other unforeseen events.
-
Changes to Travel Arrangements: When an event beyond reasonable control affects travel arrangements, Turquoise Travel Advisors will provide reasonable assistance with available changes, cancellations, or rebooking when requested and possible. Turquoise Travel Advisors cannot guarantee alternate arrangements, availability, refunds, credits, reimbursement of additional expenses, or any particular outcome.
-
Supplier Policies & Applicable Law: Refunds, credits, cancellations, and other remedies resulting from such events are subject to applicable law and the terms and conditions of the applicable travel suppliers.
-
Additional Costs: Travelers are responsible for additional costs resulting from events beyond the control of Turquoise Travel Advisors except where those costs are the responsibility of a travel supplier or other party under applicable law or contractual terms.
Billing Questions & Disputes
-
Billing Questions & Disputes: Clients are encouraged to contact Turquoise Travel Advisors promptly regarding any questions or concerns about a charge so that reasonable efforts can be made to investigate and resolve the matter.
-
Authorized Charges: Clients are responsible for charges they have properly authorized for professional fees, travel reservations, deposits, final payments, or other travel services, subject to applicable supplier terms and applicable law.
-
Billing Dispute Rights: Nothing in these Terms & Conditions is intended to waive or limit any rights a client may have under applicable federal or state law regarding credit or debit card billing disputes.
-
Supplier Charges: When a disputed charge was processed directly by a travel supplier, the supplier’s applicable terms and dispute procedures may apply. Turquoise Travel Advisors will provide reasonable assistance with information related to an authorized transaction when available but does not control the supplier, financial institution, or card issuer’s dispute process or decision.
-
Amounts Owed: A billing dispute or chargeback does not, by itself, change the underlying terms of an authorized transaction or eliminate amounts otherwise properly owed under these Terms & Conditions or applicable supplier terms, subject to applicable law.
Accuracy & Corrections
-
Accuracy of Information: Turquoise Travel Advisors makes reasonable efforts to provide accurate information based on information received from clients, travel suppliers, and other sources. Travel information may change, and Turquoise Travel Advisors cannot guarantee the accuracy of information provided by independent travel suppliers or other third-party sources.
-
Client Review: Clients are responsible for reviewing proposals, confirmations, invoices, itineraries, tickets, vouchers, and other travel documents promptly upon receipt and notifying Turquoise Travel Advisors of any suspected error or discrepancy.
-
Corrections: Turquoise Travel Advisors reserves the right to correct inadvertent errors or omissions in proposals, itineraries, communications, or other documents and will communicate material corrections when identified.
-
Supplier Errors: Errors or discrepancies originating with a travel supplier are subject to the supplier’s policies, terms and conditions, and applicable law. Turquoise Travel Advisors will provide reasonable assistance in addressing supplier errors when possible but cannot guarantee the supplier’s resolution or response.
Right to Refuse or Discontinue Service
-
Right to Refuse Service: Turquoise Travel Advisors reserves the right to decline or discontinue professional services for reasonable business purposes, including but not limited to non-payment of professional fees, fraudulent or unlawful activity, abusive, threatening, discriminatory, or harassing behavior, or material failure to comply with agreed terms or responsibilities.
-
Existing Travel Arrangements: If Turquoise Travel Advisors discontinues professional services after travel reservations have been confirmed, reasonable efforts will be made to provide the client with information necessary to manage existing reservations directly with the applicable travel suppliers, when permitted by the supplier and circumstances.
-
Outstanding Obligations: Discontinuation of professional services does not eliminate outstanding payment obligations, supplier terms, cancellation penalties, or other responsibilities arising from reservations or services previously authorized, subject to applicable law.
